How to Prepare for Summer: USATestprep Summer Housekeeping Checklist

As summer is quickly approaching, we find it's the best time to start taking these steps to clean up your USATestprep account for the new year.

All Users:

Step 1: Encourage Students to Use USATestprep Over the Summer

Step 2: Save/Export Data

Step 3: Clean Up Classes, Assessments, and Assignments

Admins of USATestprep ONLY:

Step 4: Clean Up Your Teacher Accounts

Step 5: Update School Contact Information

Step 6: Promote Students

Step 7: Add New Students

For All Users:

Step 1: Encourage Students to Use USATestprep Over the Summer

  • First, check to make sure your school’s subscription continues over the summer.
  • Each student will still have access to their account from their personal devices.
  • Teachers can create summer assignments for review or acceleration.
  • Students can work through their resources without having assignments

Hint: We recommend sharing "5 Things Every Parent Needs to Know About USATestprep" to help prevent summer/COVID slide.

Step 2: Save/Export Data

Don’t forget! All data resets on August 1st.

**We reset the default filters in the grade book, progress report, etc. on August 1st, but you can filter back to find results from the previous school year, assuming those students, assessments, and assignments weren't deleted.**

Please export data from the following:

Step 3: Clean Up Classes, Assessments, and Assignments

Classes

  • Archive to review at a later time OR
  • Delete (data will still exist in student account)

  • Duplicate to use the next year OR
  • Archive to review at a later time OR
  • Delete (students' results are deleted too)

The Following Steps are for Admins of USATestprep ONLY:

Step 4: Clean Up Your Teacher Accounts

  • Archive or delete teacher accounts - deleted accounts will lose data
  • Add new teachers or give new teachers information to add themselves
  • Look for duplicate teacher accounts and use the merge option

Step 5: Update School Contact Information

  • Hover over your name
  • Click “Admin”
  • Click “Account Info”
  • Scroll to the bottom of the page and delete as needed with the red X
  • To add a contact - click the add new contact on the bottom left.

Step 6: Promote Students

As students are promoted to another grade within your school you will need to make sure they are promoted in USATestprep.

  • Students can be promoted through the account admin screen.
    • Select students, you want to promote
    • Select “promote to another grade”
    • Start with the highest grade first
    • Choose the grade level you are promoting to and select save
    • Bulk Upload - usernames must match

Note: Promoting students is not required for schools that take advantage of rostering via SFTP, Canvas, or Classlink.

Step 7: Add New Students

For new students who enroll in your school, you will need to create accounts for them.

  • Immediately add to USATestprep
    • Admin screen
    • Students
    • Add a single student
    • Create a login for student

Note: Adding new students is not required for schools that take advantage of rostering via SFTP, Canvas, or Classlink.
